Enroling Students into a Course

How to generate and share a temporary access code and QR code for student enrollment.

Overview

Instructors can quickly enroll students by generating a temporary access code that comes with a QR code and a direct enrollment link. The access code is time-limited and tied to the Student role, which helps control who can join a course.

Warning: Removing students from a course at or after Enrollment ends at can revoke their certificates. Be careful when setting these dates to avoid unintentional loss of credentials.


Prerequisites

  • Instructor access to the course.

  • The course has a Participants tab on its main page.

  • You know the enrollment window (start and end dates, with times).


Step-by-Step Instructions

  1. Open the Participants Tab
    Go to the course’s main page and click Participants to view the list of enrolled users.

  2. Create a Temporary Access Code
    Click the TEMPORARY ACCESSCODE button.

  3. Configure the Settings
    In the Temporary Access Code dialog:

    • Role → set to Student.

    • Enrollment allowed until → the final date/time students can use the code or QR.

    • Enrollment ends at → the date/time when the course is automatically closed and the students are unable to continue with activities.
      Click CREATE when done


  4. View and Save the Code
    The pop-up shows:

    • A QR Code

    • The access code

    • A direct enrollment link

    Notes:

    • The code might display in uppercase, but copying/pasting preserves correct casing.

    • Right-click the QR image and choose “Save as…” to download it.

    • Click FINISHED to close.

  5. Close the Dialog
    Click the X to return to the Participants page.


Result: You now have a QR image, an access code, and a direct link to share with students during the enrollment window.

Best Practices

  • For large groups, post the QR code at the classroom entrance and include the link in welcome emails.


Troubleshooting

QR code doesn’t scan:

  • Make sure the image is clear and well lit.

  • Check that the current time is before Enrollment allowed until.

Students removed unexpectedly:

  • Verify the Enrollment ends at time.

Access code displays in uppercase:

  • This is only visual. Copy/paste uses the correct casing.

Can I change the role from Student?
Yes, but for this workflow, keep it set to Student.

What happens at Enrollment ends at?
Students are automatically removed, which can revoke earned certificates.

Where can I find the QR code later?
Save it during creation. If lost, generate a new Temporary Access Code and distribute it again.
